Description

This requires that, when an employee is shifted into a new department or subsidiary, that their historical expenses be retained for the sake of reporting. This means that, when a transfer occurs, only future data will be changed.

Example Use Case

Scenario: A large-scale company employs a vast number of employees positioned in different departments and geographical locations. The organization frequently transfers employees between different departments, roles, or geographic areas.

Solution: The CPM software should allow the seamless transfer of an employee's profile while maintaining the integrity of their historical budgeting and costing data. For example, when an employee from the marketing department in the U.S. is transferred to the supply chain team in Europe, their previous cost and budget allocation under the marketing department should be intact, allowing for accurate historical data analysis.

Considerations

We have included this as a requirement because some products on the market have an all or nothing approach to employee transfers. This means that, when a transfer is made, the employee's past, current and future costs all move to the new department. That makes no sense, but it is a “feature” that exists.

Most transfer functionality allows a specified time frame, and in the best cases also allows a cost split (allocation) to be for a specified time frame as well.

Questions to Ask a Vendor

  • Transfer Timing: Does the system allow the transfer to have a start and end date?
  • Allocations: Can the transfer be for only a partial amount of the expenses?
  • Approvals: Can one department owner transfer an employee to another with an approval step in between? If not, who initiates the transfer?
